A working list drawn from the July website brief, the current prototype and the supplied 2026 map. These are decisions and content requests, not assumed commitments.
First decisions for Dan
Event basics & ownershipNext dates, opening times, content owners, annual update timetable, public contacts and account/domain ownership.
Sponsorship modelPrincipal, map, programme and stage packages; prices, duration, exclusivity, naming rights, sponsor-free areas, artwork rules and enquiry owner.
ApplicationsVerified form URL, opening/closing dates, pitch types, fees, criteria, required documents and responsibility for enquiries.
Town coverageWhich streets and permanent businesses are included, how businesses opt in and who approves or corrects their records.
Budget & supportBuild budget, maximum annual cost, maintenance, event-weekend support and handover expectations.
Information to supply
Stalls and businessesStable ID, pitch number, name, description, category, public links, opening information and verified position. Stall data is still required; the map supplies pitch references, not a complete trader directory.
ProgrammeConfirmed performers, two-day timings, stage names/locations, descriptions and a process for changes or cancellations.
Visitor guidanceAdmission, parking, transport, closures, accessible routes, toilets, first aid, lost children/property, dogs and family activity information.
SponsorsApproved names, logos, links, agreed placements and annual publication dates.
Identity and storyHigh-quality crest, approved local photography, permissions, short history and organiser details.
What the 2026 map contributes
Source: HSF Map 2026 – V1.1, supplied by Steve. It is a schematic, marked not to scale with approximate positions, rather than a georeferenced map.
Numbered pitches reaching 60, including a 2a reference, provide a useful starting point for matching a trader spreadsheet.
Queen Street, the church area, Queen Street car park, Golden Square and the High Street junction help establish the event’s footprint.
A stage near the church and a “Band” label near High Street need to be reconciled with the brief’s two-stage programme.
Toilets, an accessible toilet, control point, ambulance position, children’s activities and fairground areas prompt a fuller facilities list.
“Possible Fairground Extension” is explicitly tentative. The car park is shown occupied by stalls; neither is confirmed visitor guidance.
Next step: confirm which year/layout to use, whether this plan is approved for public download, and who can verify coordinates and accessible routes. Prepare a simplified visitor map with a text alternative. No operational positions have been silently copied into the live sample markers.
Features still to build or finish
Content managementCommittee editing, individual accounts, roles, preview/publish, annual reuse, bulk imports, history and backups. The current JSON files are not a CMS.
Event lifecycleScheduled/manual pre-event, event and post-event modes; real Europe/London Now/Next timing; cancellation handling and urgent notices.
Richer discoveryDedicated stalls/traders and town-business views, shareable profiles, links/opening times, and separate facility categories where useful.
Programme controlsVisitor filters by day and stage. The existing demo clock tests Now/Next; it is not the final programme filter.
Offline referenceApproved downloadable overview map and a readable text alternative; a map-free list already exists, but full offline operation is not implemented.
Replace all sample data and provisional copy; approve design and sponsorship rules.
Test physical phones, outdoor readability, weak connections, keyboard and screen readers; complete accessibility and performance checks.
Confirm production Maps setup, website/API restrictions, usage controls and costs.
Agree privacy information and third-party mapping behaviour; decide whether analytics are needed.
Configure the domain, local search metadata and sharing previews. Remove noindex only when ready; noindex is not access control.
Provide committee training, an admin guide, recovery instructions and named support contacts.
Included in this review pass
A fuller shared footer, a taller map at the same desktop width, visitor and participation pages, about/contact pages, sponsorship placements driven by shared data, and this review list. All new public-facing copy is provisional.
